Project: Sales Transaction Reconciliation Improvement

Client: National Healthcare System

Project Overview & Objectives:

The healthcare system had a key strategic initiative to “improve the member’s payment experience. The Clearsulting team was engaged to lead an organization design, technology implementation and process design. The main goal was to:

  • Improve way the organization manages and accounts for 1M+ payments across 500+ locations (hospitals, medical facilities, optical/dentals offices, etc.)

The Clearsulting Delivery / Value:

Designed a centralized national payments office (NPO) that provides enhanced support for standardized back-office payments functions including audit & reconciliation, chargeback management and vendor management

  • Developed job definitions, determined staffing levels, organization structure (including reporting relationships) and defined the overall governance model for the NPO
  • Engaged to serve as a liaison between business, regional, and IT stakeholders for an audit and reconciliations implementation
  • Designed a standard sales audit process that enables the verification of payment transactions and reconciles end-to-end payment data from the underlying A/R system to the integrated POS to various bank accounts through the GL
  • Managed the development of the process documentation (process flows and operational procedures for the payment specialists, general accounting and front desk representatives)
  • Coordinated the definition and validation of the business and integration requirements and reviewed the technical design of the POS and audit reconciliation implementation. Managed the SOX approval process in order to obtain UAT and go-live control approvals.
