Four brands, three ERPs, one connected treasury operation
How a multi-brand retailer automated cash accounting, bank reporting, and user security across three ERP environments and three bank APIs
The challenge
A large multi-brand retailer was centralizing treasury operations in Kyriba across four distinct brands, three ERP environments, and multiple accounting teams.
Each brand had its own accounting logic, approval requirements, and operational needs, while each ERP required different file structures, formatting, and processing logic. Journal entries needed to be generated, validated, and delivered accurately across this interconnected environment without adding manual work for accounting teams.
At the same time, the organization needed to modernize bank reporting across three key banking partners. Prior-day and current-day cash visibility were critical, but achieving business requirements meant more than establishing standard SFTP connectivity. The bank reporting effort required the team to manage three separate bank API onboarding processes across three major banks: Wells Fargo, JPMorgan Chase, and Bank of America.
As the solution moved toward go-live, the retailer also needed to strengthen security by putting multifactor authentication in place for users across the environment.
The approach
Clearsulting partnered closely with the retailer’s treasury, accounting, and technical teams to design a Kyriba solution that reflected the complexity of the business rather than forcing it into a one-size-fits-all model.
On the cash accounting side, Clearsulting built a segmented structure that accommodated brand-specific mapping tables, GL exception handling, approval workflows, and file extracts while maintaining a consistent framework across the organization.
One of the most meaningful accomplishments was the design and implementation of three GL export file formats to accurately route journal entries from four brands into three different ERP environments. Because each ERP had its own technical and processing requirements, Clearsulting developed and tested customized Python-based transformation scripts to dynamically format Kyriba-generated journal entries and route them to the appropriate downstream workflow.
This automation reduced manual intervention, minimized downstream processing errors, and created a scalable process for cash accounting across a complex multi-brand environment.
In parallel, Clearsulting implemented API-based bank connectivity with three major banking partners to automate prior-day and current-day bank reporting. This work required close coordination across bank contacts, Kyriba, and client stakeholders to manage API onboarding, credentials and certificates, bank-specific testing, reporting validation, and production readiness. Finally, Clearsulting implemented multifactor authentication to strengthen user access controls and support a more secure production environment.
The results
With Kyriba serving as a centralized treasury platform, Clearsulting helped the retailer transform cash accounting, bank reporting, and operational control. The project delivered immediate efficiency gains while creating a scalable foundation for future growth across a multi-brand, multi-bank, and multi-ERP treasury environment.
Key outcomes included:
- 1,000+ automated GL entries per week across multiple brands: Enabled the processing of thousands of monthly journal entries through configurable mapping logic, eliminating manual creation and reducing operational effort across accounting teams.
- 3 ERP environments seamlessly integrated: Delivered automated routing of journal entries from Kyriba into three separate ERP environments through custom file formats and transformation logic, ensuring each output aligned with the technical requirements of the receiving system.
- 100% real-time data visibility via three bank APIs: Established API-based prior-day and current-day bank reporting across three major banking partners, improving visibility into cash activity and reducing reliance on manual data retrieval.
- Standardized but flexible cash accounting framework: Designed a structure that preserved brand-specific accounting requirements while establishing a consistent, maintainable model for long-term support and scalability.
- Enhanced security and access controls: Implemented multifactor authentication across users, strengthening governance and supporting a more secure production environment.
The immediate benefit was greater automation across treasury and accounting, but the broader impact was a more connected operating model. Processes that once had to accommodate multiple brands, banking partners, accounting teams, and ERP requirements individually could now operate through a centralized structure designed to scale with the business.
